Managing Contacts and Customers
This guide explains how sellers manage their customers and contacts in Alethium. You'll learn how to see which buyers are registered on the platform, save company and contact information, invite buyers to register for trade financing, and control who receives invoices.
Understanding contact status
Navigate to Contacts from your dashboard to see a list of companies you work with. Each company has one of two statuses:
- Green checkmark — the buyer is registered on Alethium and eligible to use trade financing to pay your invoices
- No green checkmark — the company is saved for your reference only; you can still invoice them, but they won't have access to trade financing unless they register
You can create and send invoices to any company regardless of their registration status. Buyers don't need an Alethium account to view or download an invoice.
Step-by-step instructions
Adding a saved company
Click New Saved Company and enter the company's details, such as name and contact information, then save the record. The company will now appear in your contacts and can be selected when creating invoices.
Inviting a buyer to register
Click Invite New Contact, enter the buyer's email address, and click Send Invite. The contact will receive an invitation to register. Once they complete registration, they'll appear with a green checkmark and be eligible to finance invoices you send them.
Adding individual contacts
Click New Saved Contact, enter the person's name and email, and associate them with a company. You can associate multiple people with the same company — useful when different individuals handle purchasing, finance, or approvals.
Controlling invoice permissions
Click into a contact record and check whether Receive Invoices is enabled. This ensures invoices are sent to the right people within a buyer's organization.
